Monitoring Your Payment Claims

How to use the Payment Claims page to keep track of every claim you've sent that's still outstanding — with headline totals, filtering by status, sorting by urgency, and how overdue is shown (including the UK payment reminders view).

Once you start sending payment claims to release retention, the Payment Claims page gives you one place to keep an eye on every claim that's still outstanding — so nothing you've sent slips through the cracks while you wait to be paid.

Note: On UK contracts, retention is chased with a payment reminder rather than a payment claim, so this page is called Payment Reminders and uses reminder wording throughout. Everything below works the same way — just read "reminder" for "claim". See UK Payment Reminders.

What counts as an outstanding claim

A claim is outstanding once you've sent it and it hasn't been closed or reverted yet — in other words, it's a claim you're still waiting to see paid out. It stays on this page until the retention is fully released and you close it, so the page doubles as your list of claims to tidy up.

Outstanding claims are tracked on active contracts. If you close a contract that still has an outstanding claim, that claim is no longer monitored here — see Closing and Reopening a Contract.

Opening the Payment Claims page

In the left sidebar, click Payment Claims (or Payment Reminders on a UK workspace). The page opens with the headline totals along the top and the full list of outstanding claims beneath them.

Reading the headline totals

Three tiles at the top of the page summarise where things stand:

  • Total Outstanding — the total amount still due across every outstanding claim.

  • Outstanding Payment Claims — how many claims you have outstanding.

  • Overdue — how many claims are past their due date, and the amount tied up in them. This tile turns red when it isn't zero, so overdue money stands out at a glance.

Note: On a UK workspace, reminders don't have a due date, so the third tile is Outstanding Over 30 Days instead — it counts reminders you sent more than 30 days ago. You can change the number of days in your workspace settings.

Reading the columns

Each row in the list shows:

Column

What it shows

Number

The claim number, with the contract it belongs to shown beneath it. Click it to open the contract.

Type

Whether the claim is for the Practical Completion or the Defects portion of retention.

Date Sent

When you sent the claim.

Due Date

The date the claim is due to be paid, worked out from the contract's jurisdiction. UK reminders have no due date, so this is shown as a dash.

Days Overdue

How far past its due date a claim is, shown in red. A UK workspace shows Days Since Sent here instead.

Amount Due

How much retention is still to be paid on the claim.

Status

Where the claim is up to — for example Sent, Overdue, or Fully Released. The colour reflects how urgent it is.

A claim whose retention has been fully paid back but that you haven't closed yet stays in the list with a Fully Released status, so you can tidy it up by closing it. See Closing and Reverting a Payment Claim.

Filtering by status

Use the Status filter above the list to show only claims in a particular state — for example only those that are overdue, or only those waiting on a payment schedule. The filter lists the statuses your workspace's claims can actually be in. Choose All Statuses to clear the filter.

Sorting the list

By default the list shows the most urgent claims first — overdue claims rise to the top, then the ones needing attention soonest. Click a column heading to sort by that column instead; click it again to switch between ascending and descending.

The dashboard preview

Your workspace dashboard also shows a short Outstanding Payment Claims preview — the handful of most urgent claims — with a View All Payment Claims link that brings you straight to this page. It's a quick heads-up without having to open the full list.
