Finding Your Contracts: Search, Filters & Sorting

How to use search, the status and due-soon filters, and sortable columns to quickly find the contracts you need in your contracts list.

The contracts list is where all of your projects live. As your list grows, search, filters and sorting make it quick to find exactly the contract — or set of contracts — you're after, including the ones with retention coming up for release.

Opening the contracts list

In the left sidebar, click Contracts. This displays the contracts in your workspace, with the search box and filters along the top.

Searching for a contract

Use the search box at the top left of the list to find a contract by its project name, job number, or anything you've written in its notes. Type your term and press Enter; a "Showing results for…" line confirms what you searched. Click Clear to return to the full list.

Filtering by status

The Status filter controls which contracts appear, based on whether they're a draft, active, or closed:

  • Open (the default) — shows active and draft contracts, and hides closed ones.

  • Active, Draft or Closed — shows only contracts with that status.

  • All — shows every contract, including closed ones.

Note: Because the list defaults to Open, closed contracts are hidden until you choose Closed or All. For more on closing and reopening, see Closing and Reopening a Contract.

Filtering by what's due soon

The Due soon filter helps you focus on contracts with retention coming up for release. Choose a window — Due within 30 days, 60 days or 90 days — and the list narrows to contracts whose Practical Completion or Defects release date falls within that window.

"Due soon" also includes any dates that have already passed but still have retention left to claim — so overdue releases you haven't actioned yet won't slip through the cracks. Contracts where the claim has already been resolved drop out of the list automatically. Set the filter back to All dates to remove it.

Filtering by outstanding claims

The Payment Claims filter narrows the list by whether a contract has a claim you're still waiting on:

  • With outstanding claims — only contracts that have a payment claim you've sent and not yet closed.

  • Without outstanding claims — the rest.

  • All claims (the default) — switches the filter off.

It works alongside the status, due-soon and search filters, so you can combine them to narrow things down — and you can see the full list of outstanding claims on the Payment Claims page. See Monitoring Your Payment Claims.

Note: On a UK workspace this filter reads "reminders" — With outstanding reminders, Without outstanding reminders, and All reminders.

Sorting the list

Click a column heading to sort the list by that column; click it again to switch between ascending and descending. Sorting applies across every page of results, not just the page you're looking at. You can sort by:

  • Created — when the contract was created

  • Contract Name

  • Status

  • Value — the contract value

  • PC Balance and Defects Balance — these sort by their release dates (Practical Completion and the end of the Defects Liability period)

Note: While you have a search term active, results are ordered by best match. As soon as you click a column heading to sort, your chosen order takes over.

Reading the columns

Each row in the contracts list shows:

Column

What it shows

Created

The date the contract was created in Retention Track.

Contract Name

The project name, with the company it sits under shown beneath it.

Status

Draft, Active or Closed.

Counterparty

The contractor that withholds retention against the contract.

Value

The contract value, shown excluding sales tax (GST/VAT).

PC Balance

The retention still outstanding at Practical Completion, with the Practical Completion date beneath it.

Defects Balance

The retention still outstanding at the end of the Defects Liability period, with the Defects end date beneath it.
